  • The organization is seeking an experienced and highly motivated person to fill the above-mentioned position:

    This person will supports her/his supervisor to coordinate and develop the operational activities of the department, helping to stablish and organize the priorities of the area, according to the objectives previously set by the organization.

    Eases decision making process, ensuring a coordinated and consistent work flow. Prepares reports and other documents. Develops investigation and analytical works according to the assignments made by the superior. Is also responsible for the general secretarial work of the department and will, among others tasks:

    • Manage with precision the agenda of the department and external contacts,
    • Support the supervisor in managing paper and electronic mail, autonomously send Answer or draft responses according to the institutional protocol - formal or informal, according the case at hand - and ensure filling,
    • Prioritise and manage the oral and written requests addressed to the department,
    • Ensure a timely treatment of all matters that may be processed for the department,
    • Prepare/send mails to key contacts,
    • Monitor the budget of the department,
    • Organise and prepares meetings called by the department with external or internal interlocutors (deals with all technical and organizational aspects),
    • Organise the missions of the department and ensures that briefing files are prepared and presented within deadlines,
    • Take minutes of meeting if requested.

    Requirements:

    • University degree or equivalent.
    • General knowledge about the Caribbean english seaking countries, is an advantage.
    • 3-5 years’ work experience in a similar function with good reference.
    • Information management, records management and secretarial expertise.
    • Excellent command of written and spoken Spanish. Very good oral and written communication skills in English.
    • Very good computer skills, incl. Word, Excel and PowerPoint. Experience in using collaboration tools/platforms, Internet, etc.
    • Capacity to work independently.
    • Excellent organisational, methodical abilities.
    • Sense of initiative, pro-activeness and setting priorities.
    • Flexibility, patience, diplomacy resistance to stress inherent to a "multi-tasking” job and capacity to adapt to changes.
    • Service-oriented and ability to work under pressure.
    • Ability to handle sensitive information with the confidentiality required.
    • Very good communication skills and at ease with internal and external interlocutors.
    • Ability to work within a team and to integrate him/herself.
    • Interest for humanitarian activities.
